Operations Coordinator
The deadline to apply for this position is September 30, 2025.
Sharpen Strategy is hiring an Operations Coordinator to help keep our operations and programs running smoothly. This is a cross-functional role for someone who thrives on variety, enjoys building and improving systems, and takes satisfaction in helping a small team do great work. You'll support the day-to-day operations of our organization, managing logistics, improving processes, coordinating events, and helping us deliver high-quality support to leaders and groups across the farmed animal protection movement.
We’re looking for someone who’s organized, adaptable, and excited to wear many hats. You might be a great fit if you enjoy juggling multiple tasks at once, thrive in a dynamic environment, and take pride in being both detail-oriented and systems-minded. The ideal candidate is a strong generalist: proactive, resourceful, tech-savvy, and great at making things work better for others.
Who We Are
Sharpen Strategy accelerates progress by tackling shared challenges in the farmed animal protection movement. Founded in 2022 and relaunched in 2025, we partner with high-impact organizations to strengthen leadership, strategy, skills, and collaboration—offering guidance, connecting peers, and providing tailored support.
We’re a small, nimble team working across the farmed animal protection ecosystem to tackle persistent bottlenecks and increase the long-term effectiveness and resilience of the movement. Our experience blends nonprofit leadership and organizational strategy, including leading a top-rated farm animal protection nonprofit and advising a wide range of mission-driven organizations. You’ll be joining a close-knit team that values thoughtfulness, trust, humor, and impact, and you’ll get to work directly with many of the people and groups shaping the future of this movement.
What You’ll Do
You’ll report to, and work closely with, the Chief Executive Officer while supporting a small and collaborative team of three. You’ll help us stay organized, move projects forward, and make sure our operations and programs run efficiently. Your efforts will make a direct impact, not just on our team, but on organizations and leaders across the global farmed animal movement. The role may evolve over time depending on organizational needs and team growth. Responsibilities include:
Administrative & Program Support
Keep the team running smoothly with general administrative support, including travel coordination, scheduling, and light project management.
Help us stay organized and responsive by coordinating client onboarding, client availability (especially for group meetings and our large, annual cohort program), creating and summarizing surveys, and sourcing helpful resources or referrals.
Help maintain accurate records and key data for internal alignment, grant reporting, and measuring program impact.
Support the creation of internal and external materials (like reports, slides, and documents) and guide website updates with help from a designer.
Manage incoming and outgoing mail (currently virtual and minimal).
Take on additional tasks as needed to support the organization’s mission and operations.
Events & External Coordination
Plan and coordinate both virtual and in-person events and trainings, creating a smooth experience for everyone involved. This includes venues, catering, supplies, registration, and attendee communication.
Communicate with clients and partners, sharing resources, confirming meetings, and sending reminders.
Help to set up workflows and keep our processes for our Board of Directors organized: draft agendas, prep materials, coordinate meetings, and support board member onboarding and recruitment.
Systems & Operations
Make our internal systems more effective by improving workflows, building templates, and organizing key info in tools like Notion, Asana, and Google Drive.
Serve as our internal point person for technology by managing tools like Google Workspace, Slack, Zoom, Notion, and Asana. You don’t need to know everything, but you’ll be the first stop for troubleshooting and can bring in outside help when needed.
Finance & Compliance
Work alongside the CEO on budgeting and organizing financial records. You’ll track and reconcile the organization’s monthly expenses and help prep for our annual audit.
Support compliance needs like maintaining governance docs, submitting registrations, ensuring data privacy, and helping set up insurance policies (like liability or D&O).
People & Culture
With support from the CEO, assist with HR processes, such as benefits selection and enrollment, retirement plan contributions, and drafting or maintaining internal policies. You’ll also support payroll and stipend distribution (which are minimal thanks to our PEO).
If and when we hire (we have no current plans for growth), you’ll support the recruitment and onboarding process, from interview scheduling and candidate screening to helping with new hire onboarding.
Who You Are
To be successful in this role, you’ll need to have:
Experience in a similar role, ideally in a nonprofit or mission-driven organization.
Strong interpersonal skills and the ability to build positive working relationships with a variety of people and working styles, including clients, partners, teammates, and board members.
A customer service mindset, with a strong degree of empathy and understanding to support and solve problems for others.
Strong attention to detail and a commitment to quality, with the ability to manage multiple tasks and deadlines with care and accuracy.
Demonstrated strength in organizing people, information, and workflows, and thinking in systems to improve how work gets done.
Excellent verbal and written communication skills.
An ability and appetite to work independently, take initiative, and stay focused on results without needing a lot of direction.
Comfort with change—you’re flexible and adaptable in a small, evolving organization.
A practical, impact-oriented approach: you prioritize what matters, streamline where possible, and avoid unnecessary process.
A strong commitment to equity and to contributing to a positive, inclusive workplace culture.
Strong technology skills, with a passion for technology and the ability to quickly master new systems. Experience with Google Workplace, Notion, ChatGPT, and Asana is a plus.
While not required, we’ll be especially excited if you have:
Experience using and maintaining a CRM, or at least a high level of skill and comfort with spreadsheets and organizing information.
An understanding of the nonprofit sector.
Experience organizing events or meetings.
